Instructions apply to Outlook 2019, 2016, 2010, and 2007.

Click theFiletab and selectPrint.

UnderPrinter, tap the drop-down menu and selectMicrosoft Print to PDF.

In theSave Print Output Asdialog box, navigate to the folder where you want to save the PDF file.

If you want to change the name of the file, do so in theFile Namefield and then clickSave.

The file is saved to the folder you chose.

Heres how:

In Outlook, kick off the message you want to convert.

Click theFiletab and selectSave As.

In theSave Asdialog box, navigate to the folder where you want to save the file.

If you want to change the name of the file, do so in theFile Namefield.

Click theSave as Typedrop-down menu and selectHTML.

Click theFiletab and chooseOpen.

Select your saved HTML file.

Browse to the location where you want to save the file.

In theSave Asdialog box, click theSave as Typedrop-down menu and choosePDF.

The PDF file is saved in the folder you selected.

Place your cursor in the message and pressCtrl+Aon your keyboard to choose the entire body of the message.

PressCtrl+Cto copy the text.

Open a blank Word document.

PressCtrl+Vto paste the text into the document.

Select theFilemenu at the top of the screen, and then clickSave.

This process wont include the message header.

In the Word document, open theFilemenu, hover your pointer overSave Asand selectPDF or XPS.

In theFile Namefield, key in a name for the document.

In theSave as Typelist, selectPDF.

UnderOptimize For, choose your preferred print quality.

ClickOptionsto select additional prefs and then clickOK.

The PDF file is saved to the folder you selected.

Convert Email to PDF on a Mac

ClickFilein the menu bar and selectPrintfrom the drop-down menu.

Click thePDFdrop-down menu and selectSave as PDF.

bang out in a name for the PDF file.

hit the arrow next to theSave Asfield and navigate to the folder where you want to store the file.

The PDF file will be saved into the folder you selected.

In Windows Explorer, right-hit the file and selectOpen With> choose aPDF readerto open it with.

Next, turn onAlways use this utility by default.

You may need to restart Outlook for the changes to take effect.

Open Adobe Acrobat Reader and selectSelect a Task>Combine Files into PDF.

kick off the calendar you want to save and selectFile>Print>Print to PDF.
